What is the intake process like?
Free consultation: Caitlin can schedule a complimentary 15‑minute consultation call with one of our therapists to help determine a good fit.
Intake paperwork: You will receive a few documents by email to help your therapist get to know you and to outline your rights as a client.
First session: Once the paperwork is complete, you can schedule your first session with your therapist.
How do I schedule sessions with my therapist?
Sign in to (or create) your SimplePractice account. Select “Request Now” under “New appointment,” choose your session type and location, and view your therapist’s available times. If you have trouble booking, please call or email our office.
How flexible are you if my schedule changes?
We are flexible with schedule changes made outside of our 48‑hour cancellation window. If you notify us in advance, we will do our best to accommodate you in the next available appointment.
How do I know my therapist’s availability?
Your therapist’s availability is listed in SimplePractice. Available time slots reflect when sessions can be scheduled; blocked times indicate when your therapist is unavailable.
What is the best way to contact my therapist outside of a session?
You may contact your therapist directly via their Novo Life Counseling email.
How much does each session cost?
Session fees vary by therapist and typically range from $150–$200 per session. We can provide a superbill for you to submit to your insurance company for possible reimbursement. Please verify coverage directly with your insurer.
Do you offer a sliding scale?
Yes. Sliding scale options are available to help make counseling more accessible. Rates are based on client need, income, and each therapist’s availability.
Will insurance help cover the cost of sessions?
We are out of network and do not bill insurance directly. We accept HSA/FSA cards and can provide documentation for you to submit to your insurance company for potential reimbursement.
Do you offer in‑person, telehealth, or hybrid sessions?
Yes. We offer in‑person sessions at our Kirkland office, telehealth sessions, and hybrid options that combine both.
What is the cancellation policy?
Novo Life Counseling requires at least 48 hours’ notice to cancel or reschedule an appointment. Cancellations made within 48 hours are charged the full session fee as a no‑show. This fee is the client’s responsibility and must be paid before future appointments are scheduled. Insurance cannot be billed for missed appointments.
What happens if I am late?
Life happens—no worries. You are welcome to use the remaining time in your session, and the full session fee will still apply.
What is LENS Neurofeedback?
LENS (Low Energy Neurofeedback System) is a gentle and effective form of brain‑based biofeedback. The system monitors brainwave activity in real time and provides subtle feedback that interrupts maladaptive patterns, allowing the brain to reset and self‑regulate more effectively. Over time, this supports healthier neural pathways and improved overall functioning.
Is everything I say confidential?
Yes. All sessions are confidential, with the following legal exceptions: if there is risk of harm to yourself or others; suspected abuse or neglect of a child, elderly person, or disabled person; or if records are subpoenaed by a court. Full details are outlined in our informed consent document.
How can I request access to my paperwork or records?
You may request to review your paperwork or records at any time by asking your counselor.
What should I do if I am not seeing progress?
Please be gentle with yourself. If you feel stuck, bring this up with your counselor. Together, you can explore adjustments to the counseling approach to better support your goals.
How long does therapy typically last?
Therapy length varies by individual. We generally recommend 8–10 consistent sessions to begin noticing growth. Some clients benefit from a few months of therapy, while others may choose to continue longer. You and your therapist can regularly check in about progress and goals.
How do I know when I am ready to end therapy?
You may be ready to end therapy when you feel you have met your goals or are functioning well independently. Discuss this with your therapist so you can create a thoughtful plan for termination and ongoing support if needed.
